“Urgent” should be an operating definition, not a feeling.

When every record is marked urgent, the queue becomes theater.

I see this a lot in GTM systems. Teams want responsiveness, so they create broad alerting rules and loose priority labels. Very quickly, high-priority becomes the default state. Reps ignore the flags. Managers create side channels. Leadership thinks the system is moving fast, but the real work is happening outside the system.

That is not urgency. That is signal collapse.

A useful urgent definition has three parts:

  1. explicit threshold
  2. named owner
  3. time-bound action

If one is missing, the urgent label should not exist.

Here is a practical standard:

Explicit threshold

What happened that justifies interruption?

Not “this account looks interesting.” Not “this might be a fit.”

Something more concrete:

  • high-confidence buying signal from a target account
  • active reply with problem-specific language
  • founder, exec, or partner-introduced path that changes response priority
  • meeting-ready context that can degrade if ignored

Named owner

Urgent work cannot belong to everyone.

One person or one queue owner must be accountable. If the record can bounce between SDR, AE, RevOps, and founder with no hard ownership, the label is cosmetic.

Time-bound action

Urgent should trigger a real SLA:

  • review within 15 minutes
  • first response within 1 hour
  • routing decision same day

The important thing is not the exact number. The important thing is that the rule exists and can be enforced.

My usual operating check is simple:

If I ask why this was marked urgent, can the team answer in one sentence?

If not, I do not trust the label.

The reason this matters is cultural as much as technical. Teams learn quickly whether a system’s priority logic means anything. If urgent labels are sloppy, people route around the tooling. Once that happens, dashboards stop reflecting reality.

A strong routing system protects urgency by being selective.

Urgent should be rare enough to matter, clear enough to defend, and structured enough that the next move is obvious.
